We are seeking input from the residents of the Barony of Montengarde for a new pilot project aimed at enhancing our Baronial events. The proposal will be voted on during the April General Council meeting. Please note that the social media post will not be actively monitored for comments or discussions. Pilot Project Timeline: From present to Samhain 2026

Main Purpose:

  • Secure event sites 12 months in advance of the event date.
  • Providing Accessibility:
  • Maintain at least one in-town event with access to mass transit and other local conveniences.
  • Prioritize sites with accessibility for our community.
  • Keep our single camping event at sites a reasonable distance from our Barony.

Opportunity:

  • This will enable new and upcoming event stewards to learn valuable event-stewarding skills without the need to find a site.
  • Experienced event stewards will have the option to bid on a kingdom event, or for those more enthusiastic, to bid on Baronial events 12 months in advance.
  • Having more planning and organization timeframes will potentially result in better-run and better-scheduled events for not only attendees but also volunteers.
  • This will help reduce volunteer burnout and encourage shy or newer members to come forward and participate.

The process for selecting sites is similar to bidding for an event, but in this case, we are focusing on the sites themselves. We will carefully identify at least two feasible locations, engage in discussions with the site representatives, and then present all options to the Financial Committee for consideration. Once the Financial Committee has evaluated the options, they will be presented to the General Council for a final decision through a vote.

Consider the following: By booking an event site well in advance, you’ll have a wider selection of venues to choose from. This allows you to fully incorporate all aspects of your event without compromising on any one element due to time constraints.
